Part-time Administrator (30 hours per week)
Reporting to: Rehoming Co-ordinatorMain Purpose of Role
To provide an efficient and friendly customer care service to all visitors and telephone callers. To provide general administrative support to the Operations Director and Rehoming Co-ordinator.Key Responsibilities
- To provide general administrative support to the operations director and re-homing co-coordinator as required, including, letters, emails, telephone messages and filing
- To ensure that all areas of reception are kept clean and tidy at all times and that the area is Health & Safety compliant with no risk to visitors
- Arrange appointments for prospective adopters to return and meet their reserved animal; socialize with the animal and for Hula to meet the family members
- Arrange home visits in a timely manner
- Assist in the accurate completion of re-homing and admissions paperwork and daily filing of records
- Administration for presentations, media interviews and visits to and from external groups to promote Hula
- Ensure the telephone is answered promptly and politely within 4 rings, taking details and messages from incoming calls and passing on these messages to the appropriate persons
- To assist with re-homing follow-up phone calls and notes of the call recorded and filed
- Assist with the maintenance of up-to-date computer records of animals and adopters details
- To assist with the preparation of accurate, legible written records for animals coming into and leaving the site
- To assist with the complete administration for animal admissions in a caring, non judgmental and empathetic manner
- Liaise with the Pet ID chip company, sending details of chipped animals and updating records of homed and returned animals
- To keep accurate records of monies taken throughout the day and from whom then cashing up at the end of the day
- To attend team meetings, training courses and personal development opportunities as requested in order to fulfill the role in a competent and professional manner
- Attend fetes and fundraising events as requested
- Any other reasonable request as directed from the re-homing co-coordinator, operations director or Trustees

| Experienced user of Word and Excel | Experienced user of PowerPoint |
